Approval of stand plans

Please send the stand construction plans of stands with special constructions and truss constructions for checking and approving by WCCB (not required for system construction stands!) with the subject: “Stand construction plans FA 2025” to: AFCEA@worldccbonn.com (cc to Fachausstellung@AFCEA.de).

Stand design

Exhibitors are responsible for their own stand equipment and design. The overriding principle for the design of all exhibition stands is transparency. All open sides must be freely accessible. This means that at least 50% of each aisle side may not be obstructed by superstructures.


All stands must have a wall at least 2.50 m high to the adjacent stands. Exceptions may only be made in consultation with the exhibition management. Joint wall construction with neighboring stands is possible.
The rear sides of the stand boundaries, advertising media or other design elements facing the neighboring stand over 2.50 m in height must be white, clean and visually flawless and may not contain any text or graphics.


We reserve the right to impose further conditions on stand design.

All floors, hall walls, pillars, installation and fire protection equipment and other fixed hall fixtures may not be pasted, nailed, painted or damaged in any other way. Any damage will be charged to the exhibitor. Any pillars located in the stand area as well as installation and fire protection equipment are part of the allocated stand space and must be accessible at all times.
Floor coverings in the exhibition stands may only be attached with double-sided adhesive tape (only with solvent-free adhesive tapes: e.g. tesafix No. 4964).

The applicable regulations and the generally recognized rules of technology must be applied when setting up the exhibition stand.
Installed portable electrical systems and equipment require a valid DGUV V3 test. Truss systems and electrically conductive components on which electrical devices or electrical cables are mounted must be provided with equipotential bonding.
The booked power connection is located at the edge of the stand at the beginning of the set-up. The stand constructor is responsible for laying the connection on the stand, as the connections are laid by the hall operator prior to set-up. Sub-distributors must be installed by the stand constructor based on the individual requirements of the stand. A valid DGUV V3 inspection must also be presented here.

Exhibition stands including superstructures, equipment and exhibits as well as advertising media must be erected in a stable manner. The exhibitor is responsible for the stability of the stand and may be required to provide proof thereof. Supports against neighboring stands or existing buildings are not permitted.
For decorative objects suspended from the stand, please observe DGUV Information 215-313 “Loads above persons”. Suitable suspensions corresponding to the load must be selected. Rope clamps are not permitted here.
ATTENTION: Suspensions from the building ceiling are not possible!

The fire behavior of all stand construction and decoration materials used must at least comply with DIN 4102 B1. This means that they must be flame-retardant and must not drip or release toxic gases in the event of fire.

During the set-up phase, additional random checks are carried out and a safety inspection is performed. Please ensure that all required certificates are available for inspection at the stand.

In the event of non-compliance, we reserve the right to raise objections on site and refuse to open the stand.

Please note during the set-up and dismantling phase:

  • The passageways from the New York Hall are not storage areas and must be kept clear at all times.
  • Leaning building materials against the walls is strictly prohibited.

Additional furniture may only be booked through stand constructors.

The exhibitor also undertakes to comply with the requirements of the World Conference Center Bonn in accordance with the

  • Safety regulations for events (Annex A)
  • Security Regulations for Exhibitions (Annex B) and the
  • House Rules of the World Conference Center Bonn (Annex C)

must be observed.

Exhibition stands whose construction has not begun by Monday, 26.05.2025 15:00 will be designed by the organizer, unless otherwise agreed. Any resulting costs shall be borne by the exhibitor. The stand positions are then measured and marked.

Stand dismantling

Wednesday 28.05.2025, 17:00–24:00 Uhr
Thursday, 29.05.2025, 08:00–15:00 Uhr

We expressly point out once again that stand dismantling on Wednesday, 28.05.2025 may not take place before the official closing time of the exhibition at 17:00. Stands dismantled before this time will be subject to penalties in accordance with the General Exhibition Regulations.

Late stand dismantling may lead to recourse claims on the part of the WCCB, which will be passed on to the exhibitors by AFCEA Bonn.

Dismantled stands must be left swept clean. Please understand that stands left dirty will be documented and the exhibiting companies will be charged for subsequent cleaning.


Stand cleaning

The fees for stand cleaning are included in the stand fees.

The exhibition rooms are cleaned on the two exhibition days before the opening. The stands will also be cleaned before the 1st and 2nd day of the exhibition.

If your stand is not satisfactorily cleaned on the 1st and 2nd day of the exhibition, this must be reported to the exhibition office/head of the trade exhibition by 8.30 a.m. at the latest so that subsequent cleaning can be carried out immediately.

If the stands are not to be cleaned, this must be clearly indicated by means of a routeing tape and a corresponding sign at the stand entrance.

Furniture

Additional furniture can only be booked through stand constructors.Unfortunately, booking via the WCCB is not possible.

Logistics service provider at the AFCEA FA 2025    

At AFCEA FA 2025, the logistics service provider DHL will organize the set-up and dismantling.

They will essentially support your stand constructors with the following work packages:

  • Time and space coordination and control of the stand constructors' vehicles for unloading at one of the two forklift unloading points
  • Unloading the stand construction material from the stand constructors' vehicles using forklift trucks
  • Provision of pallet trucks with rubber tires
  • Removal/temporary storage of packaging material after stand construction outside the WCCB
  • Central reception of stand equipment sent in advance
  • Transportation of stand equipment sent in advance by exhibitors to the relevant exhibition stand in the WCCB at the desired delivery time
  • Return transportation of packaging material to the stands after the end of the trade exhibition/start of dismantling
  • Taking over stand equipment from the exhibitor on the stand after the end of the trade exhibition and arranging for its return
  • Loading the packed stands onto the stand constructors' trucks using a forklift truck
